This Privacy Policy explains how we collect, use, store, share, and protect your personal information when you use our website at www.uk50.org (the "Website"), our digital membership platform (the "Platform"), and attend UK50 events.

UK50 is the data controller of the personal data collected through the Website, Platform, and events.

We are committed to complying with:

2.1 All Members (Player/Parent/Guardian, Scout, Coach)

2.5 Data We Collect Automatically

When you use the Website or Platform, we automatically collect technical data including IP addresses, device identifiers, browser type, operating system, referring URLs, pages visited, and session duration. This is collected via cookies and similar tracking technologies (see Section 9 – Cookie Policy).


3. How We Collect Your Data

We collect personal data in the following ways:

  • Directly from you when you register for membership, complete forms, register for events, upload content to the Platform, or contact us.
  • From a parent or guardian when they register a Minor player.
  • Automatically via cookies and tracking technologies when you use the Website or Platform.
  • From third parties, including coaches or scouts who nominate players, Basketball England and affiliated clubs, social media platforms (where you give permission), and event photography and video capture at UK50 Events.

4. How We Use Your Personal Data

We use your personal data for the following purposes, relying on the lawful bases set out below.

4.1 Providing Our Services (Lawful Basis: Contract)

  • Creating and managing your membership account
  • Processing registration and payments for Events and membership
  • Maintaining and displaying player profiles, ratings, and rankings on the Platform
  • Matching players with Scouts and Coaches through the Platform
  • Communicating essential service information such as event confirmations, schedule changes, and account updates

4.2 Operating and Improving the Platform (Lawful Basis: Legitimate Interests)

  • Monitoring Platform usage, diagnosing technical issues, and improving functionality
  • Conducting internal analytics and research to improve UK50 services
  • Publishing aggregated, anonymised statistical insights about UK youth basketball talent
  • Fraud prevention and security monitoring

4.3 Safeguarding (Lawful Basis: Legal Obligation / Substantial Public Interest)

  • Fulfilling our safeguarding obligations in respect of Minors and vulnerable adults under applicable UK law and DBS/safeguarding frameworks
  • Reporting concerns to statutory authorities (e.g., police, children's services) where required by law or safeguarding obligations

4.4 Marketing and Promotional Communications (Lawful Basis: Consent / Legitimate Interests)

  • Sending you promotional emails, newsletters, and information about UK50 events, programmes, membership offers, and partner promotions.
  • Where you are an existing Member, we may send you direct marketing relating to similar UK50 services under the PECR soft opt-in (legitimate interests), provided we offered you a clear opportunity to opt out at the time of data collection and in every subsequent communication.
  • Where you are a new contact, or where we wish to share your data with third-party marketing partners, we will rely on your explicit consent.
  • You can withdraw consent or opt out of marketing at any time by clicking "unsubscribe" in any marketing email, or by contacting us at info@uk50.org.

4.5 Sharing Data with Scouts and Coaches (Lawful Basis: Consent)

  • Player profiles, performance data, ratings, and event footage are made accessible to verified Scout and Coach Members on the Platform. We obtain consent from players and/or their parents/guardians at the point of registration for this purpose.
  • This is a central purpose of the Platform and is a condition of Player/Parent/Guardian membership. If you do not consent to this use, please do not register as a Player Member.

4.6 Promotional and Media Content (Lawful Basis: Consent / Legitimate Interests)

  • Using event photography and video footage of Members (with consent obtained as described in our Terms and Conditions, Section 9) for UK50's promotional materials, website, social media, and other marketing channels.
  • Publishing player ratings and rankings publicly as part of UK50's role in promoting UK youth basketball.

4.7 Selling or Sharing Data with Commercial Partners (Lawful Basis: Consent)

  • Where we wish to share identifiable personal data with third-party commercial partners (for example, equipment sponsors, academic institutions, or basketball organisations seeking to market relevant products or services to Members), we will obtain your explicit consent before doing so.
  • We will never sell personal data to third parties for unrelated purposes without your prior explicit consent.

5. Sharing and Disclosing Your Data

We may share your personal data with the following categories of recipients:

5.1 Other Platform Members

Player profiles and associated data (including ratings, statistics, event footage, and contact information) are accessible to verified Scout and Coach Members as a core Platform feature, subject to consent granted at registration.

5.2 Service Providers

We engage trusted third-party service providers to support our operations, including:

  • Website hosting and cloud infrastructure providers
  • Payment processing providers (e.g., Stripe or equivalent)
  • Email marketing and CRM platforms
  • Analytics providers (e.g., Google Analytics)
  • Video hosting and streaming services

All service providers are contractually required to process data only on our instructions and to maintain appropriate security standards. We carry out appropriate due diligence on all third-party processors.

5.3 Basketball Organisations

We may share limited Member data (such as name, date of birth, club affiliation, and competition eligibility) with relevant basketball organisations such as Basketball England, the British Basketball Federation, affiliated leagues and clubs, and other national or international basketball governing bodies, where necessary for the governance and administration of UK basketball, safeguarding, or compliance with applicable rules.

5.4 Legal and Regulatory Authorities

We may disclose personal data to regulatory authorities, law enforcement agencies, the courts, or other statutory bodies where required to do so by law, court order, or in connection with any legal proceedings, or where disclosure is necessary to protect the safety of any individual.

5.5 Business Transfers

In the event that UK50 is involved in a merger, acquisition, restructuring, or sale of all or part of its business, your personal data may be transferred to the relevant successor entity, subject to appropriate data protection safeguards and notification to Members.

5.6 Commercial Partners (with Consent)

Where you have given your explicit consent, we may share your data with carefully selected commercial partners for marketing purposes. You may withdraw consent at any time.


6. Data Retention

We will retain your personal data only for as long as is necessary for the purposes for which it was collected, or as required by law. Our general retention principles are as follows:

Upon expiry of the applicable retention period, we will securely delete or anonymise your personal data.

You may request deletion of your account data by contacting us at info@uk50.org. We will action such requests within one calendar month, subject to any legal retention obligations.


7. International Data Transfers

UK50 is based in the United Kingdom. Some of our third-party service providers may be located outside the UK or the European Economic Area (EEA). Where personal data is transferred to countries outside the UK that do not benefit from a UK adequacy decision, we ensure appropriate safeguards are in place, including:

  • UK Standard Contractual Clauses (SCCs) or equivalent approved transfer mechanisms;
  • Reliance on the "UK Extension to the EU-US Data Privacy Framework" where applicable for US-based providers.

We will not transfer your personal data internationally in a manner that reduces the protections afforded to you under UK data protection law.

9.1 What Are Cookies?

You can also manage cookies via your browser settings. Please note that disabling certain cookies may affect the functionality of the Website and Platform.

We do not currently respond to "Do Not Track" browser signals, but we will update this policy if our practices change.


10. Children's Privacy and Minor Protections

10.1 UK50 operates a platform intended for use by players aged 13 to 17, alongside Scouts and Coaches. We are committed to protecting children's privacy.

10.2 Players under 18 must register with parental or guardian consent. We require explicit parental/guardian acceptance of these Terms and this Privacy Policy on behalf of the Minor at the point of registration.

10.3 Players under 13 may only register with verified parental consent. We do not knowingly collect personal data from children under 13 without such consent. If we become aware that a child under 13 has registered without parental consent, we will promptly delete that account and associated data.

10.4 Scouts and Coaches must not contact players who are Minors via personal or unofficial channels and must comply with UK50's safeguarding guidelines at all times.

10.5 Player profiles for Minors will not display personal contact information (such as direct phone numbers or home addresses) to Scout or Coach Members; contact must be made through Platform-approved channels only.


11. Security

11.1 We take the security of your personal data seriously and implement industry-standard technical and organisational measures to protect your data against unauthorised access, disclosure, alteration, destruction, or loss. These measures include encryption (HTTPS/TLS), access controls, firewalls, secure server infrastructure, and regular security assessments.

11.2 No method of transmission over the internet or electronic storage is completely secure. While we strive to protect your data, we cannot guarantee absolute security.

11.3 In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify the Information Commissioner's Office (ICO) without undue delay and within 72 hours of becoming aware, as required by the UK GDPR. Where the breach is likely to result in a high risk to affected individuals, we will also notify those individuals directly.


12. Automated Decision-Making and Profiling

12.1 UK50 may use algorithms, data analysis, and performance metrics to generate player ratings, rankings, and recommendations on the Platform. These represent expert human evaluation assisted by data tools; they are not fully automated decisions producing legal or similarly significant effects.

12.2 Where data analytics are used to personalise your Platform experience (for example, suggesting events or content), this does not constitute solely automated decision-making with significant legal effects. Human review is always part of UK50's evaluation process.

12.3 We may create audience segments and profiles for marketing purposes using aggregated data. Where this involves processing that constitutes profiling under UK GDPR, we will ensure appropriate safeguards are in place.


13. Complaints

13.1 If you have any concerns about how UK50 has handled your personal data, please contact us in the first instance at info@uk50.org. We will investigate and respond within 30 days.

13.2 If you remain dissatisfied following our response, or if you believe we are not complying with applicable data protection law, you have the right to lodge a complaint with the Information Commissioner's Office (ICO):

14. Changes to This Privacy Policy

14.1 We may update this Privacy Policy from time to time to reflect changes in our data practices, legal requirements, or Platform functionality.

14.2 Where changes are material, we will notify Members via email and/or a prominent notice on the Website prior to the change taking effect.

14.3 The date of the most recent update is displayed at the top of this policy. Continued use of the Platform following notification of changes constitutes acceptance of the updated policy.
